Notion is an all-in-one workspace where teams write documents, run databases and use AI in one place. Agencies use it for internal documentation, project tracking and client-facing pages. It has a free plan, and paid plans start at $10 per member a month.
What Notion is
Notion is a workspace tool that combines documents, databases, forms, sites and a calendar in one product. A page can hold text, to-do blocks and embedded databases, so a project brief and its task list sit side by side.
The vendor describes its pitch as capturing knowledge in one system, finding answers with citations, and automating routine work with AI agents. Its about page says it set out to replace the pile of separate tools teams stitch together with email and copy and paste.
What agencies use Notion for
The vendor does not publish a page of agency uses. The documented features point to a few jobs agencies commonly give a workspace tool.
- Internal wikis and process documents, with a verified badge for pages that are up to date (Business plan).
- Project and task tracking in databases with subtasks and dependencies.
- Client-facing pages and sites, published to the web from a Notion page.
- Meeting notes and follow-ups through AI Meeting Notes (Business plan).
- Restricted access: private teamspaces and granular database permissions, which limit a collaborator to the rows assigned to them (Business plan).
The last point matters for client work. Granular permissions are listed on Business, not Plus, so an agency that wants to share one database with a client without exposing the rest should check which plan covers it.
Pricing
Notion prices per member each month, in US dollars, with a discount of up to 20% for yearly payment. The vendor lists four plans.
| Plan | Price | What the vendor lists |
|---|---|---|
| Free | $0 per member / month | Databases, basic forms, basic sites, Notion Calendar, trial of Notion AI |
| Plus | $10 per member / month | Custom forms, custom sites, charts, basic connections (such as Slack and Google Drive) |
| Business | $20 per member / month | Notion Agent, AI Meeting Notes, Enterprise Search (beta), SAML SSO, private teamspaces, premium connections |
| Enterprise | Custom pricing | SCIM provisioning, audit log, advanced security controls, customer success manager, Custom Agents |
Because pricing is per member, cost grows with headcount. Check whether freelancers and client guests count as paid members before you budget, using Notion's help center on billing and guests.
What Notion connects to
Connections are tiered. Plus offers basic connections to tools such as Slack and Google Drive. Business adds premium connections such as GitHub and Asana. Enterprise adds advanced connections, plus links to SIEM and DLP security tools. The full list sits on the vendor's site.
Limits to know before you buy
- AI is a trial on lower plans. Free and Plus list a trial of Notion AI. Notion Agent and AI Meeting Notes appear under Business. Check Notion's pricing page for how AI usage is metered on each plan.
- Client access sits on a higher plan. Granular database permissions and private teamspaces are Business features.
- Single sign-on needs Business. SAML SSO is listed there, and SCIM provisioning is Enterprise only.
- Custom Agents are Enterprise. The pricing page lists them under Enterprise, with usage priced at $10 per 1,000 monthly Notion credits after a free trial.
- Flexibility needs set-up. Notion is built from blocks you arrange yourself, so an agency needs someone to design templates and keep them tidy.
Agencies comparing project tools can read the Asana and Teamwork.com listings, or look through the agency directory to find agencies that set up workspace tools for clients.
